Event freight · Planned arrivals

Arrive prepared.Leave with a plan.

Trade shows and events create tightly defined delivery windows, shared loading areas, and handling rules that vary by venue. DP Moving & Storage provides transportation, receiving, storage, and carefully scoped white-glove handling for exhibitors, event teams, agencies, and production coordinators. We help move suitable displays, furnishings, boxed materials, and event equipment through an agreed land-side plan. Our Florida base supports assignments throughout the Southeast, with longer routes considered individually. Every project is reviewed against its freight, schedule, access requirements, and the services reserved for the venue or official contractor.

A line of box trucks ready for transport

Selective by design

We accept projects where the cargo, route, people and operating plan fit the standard of work we intend to deliver.

Details before dispatch

Access, handling, equipment, release instructions and receiving responsibilities are worked through before the job.

Direct accountability

An agreed scope, a DP contact and an in-house crew keep responsibility clear from planning to handoff.

The DP approach

The right project. The right plan. No guesswork.

We are selective about the work we accept because the quality of the result begins with the conditions behind it. Cargo, access, equipment, crew, schedule and the client’s expectations must fit a plan we can stand behind. We ask detailed questions, resolve uncertainty and define responsibility before the job begins.

That approach serves clients who value preparation as much as execution. If the brief changes, we review the effect before adding work. A clear acceptance process protects the project, the property, the people handling it and the standard of service you expect.

Trade Show & Event Logistics

What we can build into your project.

Build the service around the complete project, from collection and receiving through the final placement or release. Each stage has a defined scope, handling plan and point of responsibility.

Pre-event receiving and storage

Bring agreed shipments together before the event's delivery window. We can receive materials, document visible condition, and store them until release. An item list should identify packaging, quantities, destination, and which pieces must travel together. Confirm whether the shipment is headed to an advance warehouse, a venue receiving point, or another approved destination, since each can require different labels and arrival dates.

Scheduled transportation and handoff

Box-truck transportation can connect suppliers, storage locations, offices, event sites, and approved receiving facilities. We review vehicle access, shipment dimensions, check-in procedures, marshaling requirements, and the available delivery window. A named receiving contact and complete event instructions help define the handoff. Venue appointments, waiting time, or controlled unloading can affect the schedule and must be considered when the job is scoped.

Permitted placement and white-glove handling

For suitable venues and assignments, we can scope furniture placement, unpacking, and packaging removal. Work inside an exhibit hall depends on organizer rules and the responsibilities of the official service contractor. Booth delivery, material handling, assembly, electrical work, rigging, and labor may be restricted or billed separately. We establish our permitted role before quoting rather than assuming truck delivery includes every step to the booth.

Post-event pickup and return logistics

Plan the return before the show opens. We can arrange agreed pickup, return transportation, and storage for suitable materials after the event. Confirm when freight will be packed, labeled, released, and available for collection, along with any outbound paperwork or carrier procedures. Separate instructions are needed for items returning to storage, going to another event, or being delivered back to an office or supplier.

A strong brief makes a stronger plan.

Event name, venue, exhibitor details, and site contact • Event manual and official-contractor handling requirements • Item list, dimensions, weights, packaging, and photographs • Receiving destination and move-in or appointment windows • Placement, storage, and permitted on-site handling needs • Move-out release process, pickup window, and return destinations

Operational planning

Build the schedule from the event's actual rules

Share the exhibitor or event manual, venue address, delivery destination, and required dates early. We review the requested work against receiving hours, target move-in times, dock access, vehicle limits, and pickup procedures. Dimensions and weights matter, as do packaging, loading assistance, and whether any equipment requires specialized handling outside the proposed scope.

Your DP contact and crew lead work from an agreed shipment and handoff plan. Projects are accepted after we assess route suitability, timing, access, and responsibilities. A venue deadline does not remove the need for a feasible transport schedule. Changes to freight readiness, delivery windows, destinations, or handling requirements are reviewed, with additional work discussed for approval before proceeding.

Before the truck arrives

Clear details.
A coordinated handoff.

Every accepted project moves through a clear sequence: assess the work, confirm responsibility, prepare the cargo and site, execute the agreed handling and close the handoff. The details below make that process specific to your shipment.

Protection & documentation

Define custody, condition, and contractor responsibilities

Visible condition documentation at agreed points helps record how materials are received and handed over. Clear labels, item descriptions, and contact details support an orderly transfer. The scope should identify who signs for the shipment and when responsibility passes to a warehouse, venue, official contractor, exhibitor, or another approved recipient.

Event charges can extend beyond transportation. Official-contractor material handling, marshaling, venue labor, equipment, storage, and other event fees may be separate from our quote. The organizer's current rules determine which services must go through its appointed providers. Where our team performs placement, we plan protection for floors, doorways, and furnishings and review the agreed work with the designated contact.

Information & responsibility

Clear information. Accountable people.

Your project begins with a structured online inquiry covering the route, timing, cargo and handling requirements. Your DP contact works through the details with you, and the agreed estimate records the service and pricing. For the physical work, a crew lead provides an on-site point of contact.

We agree the communication and documentation needed for the project, including receiving instructions, schedule coordination and the handoff record. Send changes through your DP contact so the plan can be reviewed before work changes. Please keep passwords, access credentials and sensitive security instructions out of the public inquiry form; arrange any necessary site-access information directly with the team.

A place to hold the project together

Connect the stages. Keep responsibility clear.

Receiving, private storage and final delivery can be coordinated as part of a single project plan. We agree the receiving location, inspection scope, holding period and release instructions before goods arrive, then align onward delivery with site readiness.

Coverage & delivery programs

Southeast focus. Routes built around the project.

DP is Florida based, serving projects across Florida and assessing dedicated routes throughout the Southeast and the lower 48 states. We plan around the complete journey: supplier, terminal, venue, property, receiving point and final placement, rather than treating a home-base address as the boundary of the service.

Single deliveries, multi-stop routes and recurring programs can be reviewed. Exact origins, destinations, operating windows and site requirements determine the route and resource plan. Receiving and storage are coordinated at the location agreed in your estimate; regional transport does not imply a warehouse in every market.

Planning your project

Details that make a difference.

Venue rules and official contractor requirements reviewed before booking.

Call our team
Can you deliver directly to our booth?

That depends on the venue and organizer. Some events require the official contractor to move freight from the dock to the booth. We confirm the permitted handoff and our handling scope before accepting the assignment.

Do you replace the official service contractor?

No. Our role is defined around the services we are permitted and equipped to perform. Required material handling, venue labor, rigging, electrical work, and other reserved services remain with the designated providers.

Can you deliver to an advance warehouse?

Yes, when the shipment and route are suitable. Provide the official warehouse address, receiving dates, labeling instructions, exhibitor details, and shipment requirements so we can review the delivery plan.

Can you store materials between events?

Storage can be included for suitable items. Tell us the expected duration, packaging, quantities, and next destination. We can then scope receiving, storage, release, and onward transportation as connected stages.

Can you handle an exact move-out time?

We plan around the available pickup window, while accounting for packing, contractor release, queues, and venue procedures. Freight must be ready and authorized for collection; an event's end time is not necessarily its pickup time.

Do you support events beyond South Florida?

Yes. We review projects across the Southeast and suitable longer routes. Share every pickup and delivery location, the schedule, and the shipment details so we can assess the complete assignment.

How do you decide whether a project is the right fit?

We review the cargo, route, access, handling, timing and requested outcome before accepting the work. We want the resources, responsibilities and expectations aligned in a plan we can execute properly. If something essential is unresolved, we address it with you before a commitment is made.

How do you manage project information and changes?

Your structured inquiry captures the starting requirements. Your DP contact coordinates the agreed scope, timing and handoff information, with a crew lead for the physical work. Tell us what records or updates your project needs during planning. Changes to inventory, access or requested services are reviewed for their effect on the work, timing and price before additional work begins.
